For example, each month, I keep a spreadsheet that shows how much we raise in cash as well as what we spend on materials/supplies. This way I can keep track of every dollar we spend and make plans to cut costs where they exceed what the farm brings in.
Which income sources qualify as farm income? What is a business expense? Why not track both your farm income AND expenses in a separate list? For example, things like utilities (from home phone to lights), business insurance, farm insurance, etc. are business expenses. Under farm income, things like animals sold, produce sold and so on can be tracked. You should also track money-in-the-bank (pension plan or 401k) as another source of farm income. This way you can see where your dollars are going each month.
You have to constantly ask yourself “how can this place generate more income?” and then take action to make it happen. For example, maybe you have a couple of fields that are producing lower than normal crops and need better field management. Maybe you need to sell a couple of the older cows in order to free up finances for some new heifers or bulls. Maybe you need to start selling some of your more moisture-sensitive crops to raise enough funds for a sprayer. These are things you need to continually ask yourself and take action on.
Give feedback on your production regularly. Don’t leave it to chance that you’ll see an improvement when it’s time to analyze things. Regularly giving feedback allows you to see areas for improvement and makes you better at creating solutions for them.
How do your customers like coming to your farm? How often do they come back? What would make them want to come more often? What can you do better? If there is something wrong, fix it. If there is something that is lacking, add it. The best thing about farming is the people who carry on the family tradition and become successful farmers themselves. Help others become farmers by giving them honest feedback (the good and the bad).
One of the best things you can do for your farm is to store your produced products. The longer a crop stays in storage, the better price you will get on it (and by extension, your income). You should have a plan to store as much produce as possible throughout the year so that you can always have something to sell.
While this may seem like an odd choice, it is important to choose carefully which animals to bring on your farm. For example, you may consider hiring a couple of heavy machinery operators or some local people with experience in agriculture who would be willing to come work for free for a season or two, just in exchange for room and board on the farm. This will give you the manpower needed to take care of all aspects of your farming business.
With all of your farm expenses, you need to know where your money is coming from. The best thing that can happen is to reach out and actually do something with your farm (market). For example, reach out and help others in need by utilizing some of your produce as food donations (as well as monetary donations).
